BOOKING TERMS & CONDITIONS FOR WSET COURSES
1. Booking a place on a WSET Course:
In order to secure your place on a WSET course, please complete the separate booking form and sign the student declaration before returning it to Rebecca Mitchell, your WSET Approved Programme Provider (APP #1365). Your booking form must be accompanied by the full payment for your chosen WSET course. Provisional bookings will not be accepted and places on each WSET course are booked on a first come first served basis. Your place on a WSET course will only be confirmed once full payment has been received. Bookings can only be accepted on valid booking forms provided by the APP along with a signed student declaration. Candidates must be 18 years old or over.
2. Course Dates:
Please indicate the specific WSET course that you wish to attend and highlight your choice of course date/s. If your first choice of course date is already fully booked then an alternative course date will be offered. If you are choosing an online course then please ensure that you select the ‘online’ version of your chosen qualification on the booking form. For online courses only, please specify the course code and start date for your chosen qualification on the booking form – these can be found in the Course Overview information that you will have been sent prior to booking. All bookings must be received at least 14 working days prior to the advertised course start date. Please note that late bookings will incur a Late Booking Fee (please see below).
3. Contact Details:
Please provide your full name including any middle names and your postal address plus email address and mobile phone number on the booking form. Correspondence will normally be via email or phone. Please notify us immediately if your email address or contact number changes so that we can keep in touch about your chosen qualification. Your postal address is where your WSET study pack will be sent prior to the course start date unless you request otherwise in the delivery address section on the booking form. A WSET Award Certificate will be sent to your postal address after the course has been completed, subject to you successfully passing the exam.
4. Change of Address:
Please inform Rebecca Mitchell as soon as possible if you undergo a change of address between the time of booking and your exam date, so that we know where to send your WSET study pack and later, your WSET Award Certificate, assuming that you successfully pass the exam.
5. Change of Surname:
Please notify Rebecca Mitchell in writing immediately if your surname changes following your wedding if it occurs between the time of booking and your exam date. You will be required to provide the WSET with your proof of ID and a copy of your marriage certificate. Only candidates with the correct name on the student registration list will be allowed to sit a WSET examination.
6. Data Protection:
We will not share your contact details with any third party. However, for the purposes of exam registration, we request your consent to share your contact details with the Wine & Spirit Education Trust so that they can register you for the chosen exam and issue you with a candidate number and exam paper. By signing the student declaration on the booking form you give your consent. Online students only will also be required to consent, in the same student declaration, to the use of any personal data stored by the WSET for the duration of your course for any purposes deemed appropriate for tracking their progress, providing them with tutorial support and monitoring the course quality. If you choose to sit the Remote Invigilation online exam then you will need to consent to your contact details being shared with a third party invigilation company called Surpass who will require you to do a computer system check prior to the examination and they will monitor you for the exam duration.
7. Special Requirements:
Please indicate at the time of booking whether you have any special physical and / or learning requirements e.g. dyslexia or poor eyesight etc. Your booking form must be accompanied by a specialist’s certificate confirming the condition. Separate arrangements can be made for any candidates requiring reasonable adjustments in the examination, subject to individual requirements and any limitations of the course venue. All applications for reasonable adjustment must be received five weeks prior to the assessment date for WSET Level 1-3 qualifications. Food allergies should also be advised when booking.
8. Payment:
Payment in full is required at the time of booking in order to secure your place on your chosen WSET course. Please note that deposits or part payments for courses are not accepted. Payment methods accepted by the APP include cash / cheque / bank transfer. Bank details can be found on the invoice sent to either you, if you are self-funding, or your company if they are paying. Cheques should be made payable to ‘Rebecca Mitchell’ and sent to the address on the booking form. Full payment must be received at least 14 working days prior to the course start date or a Late Booking Fee will be applicable (see below).
9. Late Booking Fee:
The booking deadline for each course is 15 working days prior to the course start date. A late booking surcharge of £25 will be applicable to bookings made within 15 working days of the course start date. This fee is to cover the late examination order surcharge set by the WSET. For Remote Invigilation Online Exam Orders the booking deadline is 15 working days prior to the exam date.
10. Booking Confirmation:
An initial email acknowledgement will be sent to you within 3 working days of receipt of your booking form and once full payment has been received for the relevant WSET course. Your details will then be forwarded to WSET Exams in London for your candidate registration prior to the examination. Once you have been registered for the relevant examination you will be issued with a Candidate Number, this is usually given out on the day of the exam (see below).
11. Candidate Number:
The WSET will issue you with an individual Candidate Number to be used for the purposes of each examination that you sit with the WSET at all levels. This number will remain the same for all the WSET qualifications that you sit, so please keep a record of it.
12. WSET Course Materials:
The WSET Study Pack relevant to the course that you have booked on will be sent to you prior to the course start date. The Study Pack includes a WSET course text book for Level 1, 2 and 3 plus study guide and course specification. An SAT card for the systematic approach to tasting will be provided for Levels 2 and 3 qualifications only. Please note that for the Level 1 online qualifications in both Wines and Spirits, all study materials are included in the online course, there are no physical resources or course materials sent out to the student. Students booking the Level 2 and 3 online qualifications will receive a WSET study pack included in their course fee. Students are required to fully read the main study book for their relevant qualification prior to the course start date.
13. Online Courses:
Students choosing to do a WSET online qualification will be given access the WSET Digital Learning platform called Canvas – this is also referred to as the ‘WSET Online Classroom’. Access to the online classroom will be given to the student once the candidate registration process has been completed by the WSET. The student, will receive a booking confirmation email from the WSET with their username & password for accessing their chosen online course via Canvas. This will be followed by an email link from Canvas inviting them to access the online course.
14. Online Access:
Access to the WSET Online Classroom via Canvas is the responsibility of the individual student. Students will have access to their chosen course from the start date of their course until the finish date. The course modules should be followed in order, but students are free to complete modules at their own pace during the course. Regular student access and student participation in the course online activities is essential for this mode of online study. Please note that Rebecca Mitchell does not accept any liability or responsibility for a student not being able to successfully access their chosen online qualification within the specified course duration. Nor does Rebecca Mitchell accept any responsibility for a student’s failure to complete all the modules within the specified time-frame for the online course onto which they have booked. If a student cannot access their chosen online course then please contact the WSET direct.
15. Online Support:
Students will have the support of a WSET certified online educator for the duration of their chosen online course. The student can contact the online educator with questions at any time during the scheduled course. Please allow a reasonable response time of up to 48 hours for any queries.
16. Online Tasting Tutorials:
Rebecca Mitchell is offering Online Tasting Tutorials to compliment student’s online learning experience. Students can enjoy an online tasting tutorial with WSET certified educator Rebecca Mitchell via Zoom on a pre-scheduled date and time during their course. This is an optional extra for Level 1 online qualifications but recommended for Level 2 and Level 3 online qualifications. Rebecca suggests attending one x 30 minute online tasting tutorial for Level 1 students / two x 30 minute sessions for Level 2 students / four x 40 minute sessions for Level 3 students. Online tasting tutorials are available for up to 15 students per session and cost an additional £25 per student per session for Level 1 & 2 / or £40 per session for Level 3. This is payable at the time of booking. Please select this option on the booking form if you would like to attend an online tasting tutorial. Please note that students will need to purchase 3 wines per session from the recommended tasting list which Rebecca will send out via email once a student has booked and paid for their course. Students will also need to download the ‘ZOOM Cloud Meetings’ App from the Google Play store: https://play.google.com/store/apps/details?id=us.zoom.videomeetings or go direct to the Zoom website and click on ‘sign up for free’: https://zoom.us Rebecca will send out an email with a Zoom Link plus Meeting ID and Password inviting students to access the online tasting tutorial. Students are advised to do a zoom test http://zoom.us/test to check their audio and video before the online tasting tutorial session begins. No refund will be given to a student for their failure to join a scheduled tasting tutorial but they may be given access at the tutor’s discretion to a recorded version of the session. Students will be asked in advance to give their permission for a specific tasting tutorial to be recorded and shared with other students.
17. Cancellation Policy:
A) Cancellation by us:
If the decision is taken by us to change a course date or cancel a specific WSET course if enrolments do not reach the required minimum number of participants, then you will be notified at least 7 days before the course start date. You will be offered the choice of either transferring your booking to an alternative course date or you will be entitled to a full refund of course fees that you have paid to the APP, minus the cost of any course materials plus postage and packaging.
B) Cancellation by you:
i) Cancellations of confirmed places are accepted up to 21 days prior to the start of the course. An administration fee of £50 plus the full cost of any study materials supplied will be deducted. The remainder of the course fee will then be refunded to the payee.
ii) Cancellations within 21 days prior to the course start or at any time after the course has started will not be eligible for any refund or transfer to another course.
iii) Cancellation of exam attendance will incur a fee of £50 plus the cost of the unused exam paper.
C) Course Postponement:
Occasionally we may have to postpone a course start date, in which case you will be notified as soon as possible and at least 7 days before the course start date. You will be offered the choice of either transferring your booking to the new course date or you will be entitled to a full refund of the course fees that you have paid to the APP, minus the cost of any course materials plus postage and packaging.
18. Refunds:
If you are eligible for a refund then we will credit you via the same method of payment by which you paid for the WSET course i.e. cash / cheque / bank transfer to either yourself, if you are self-funding or to your company if they paid for your place on the course.
19. Transfers:
Requests to transfer a confirmed booking to another course date can be made up to 21 days prior to the course start date subject to availability on the alternative course and examination date. Course transfer requests must be made in writing or by email at least 21 days before the course start date and will incur an administration fee of £25 plus the cost of any additional study materials which may be applicable. Requests to transfer a confirmed booking to another applicant will incur an administration fee of £50 plus the cost of any additional course study materials. Please note that it will not be possible to carry forward any transfer to the next academic year.
20. Attendance:
If for any valid reason you are unable to attend one of the classroom course sessions then you may be offered a catch-up session at the discretion of the APP. This will take place on a mutually convenient day and time prior to the exam date. The cost of a 3 hour catch-up session is £75 per person plus the cost of any bottles of wine opened for tasting purposes. Please note that this is only applicable to the Level 2 and 3 qualifications (they are not available for Level 1 qualifications). Failure to attend an online tasting tutorial will incur the cost of that session.
21. Private Tuition:
Additional private tuition is available for anyone who requires assistance with their learning. This is charged at £45 per hour plus the cost of any bottles of wine opened for tasting purposes. Private tuition sessions can be arranged in person in Exeter, or online and will take place on a mutually convenient date and time. Full payment for the private tuition session is requested prior to the tuition date – you will receive an invoice via email before the tuition session.
22. Sickness:
If you’re not feeling 100% fit and well or you have come into contact with someone with COVID-19 symptoms in the last 14 days, please stay at home. If you are unable to attend a course or examination due to sickness then please notify us as soon as possible and at least 48 hours before the course date or exam date. Our normal cancellation policy applies and no refund will be given for failure to attend a course or examination. Please ensure you have adequate insurance in place to cover you in this event.
23. Examination:
The cost of the paper examination is included in your course fee. For Level 1 and 2 Award in Wines or Spirits qualifications the closed book assessment is a multiple choice question paper on the last day of the course for classroom courses. For online courses the examination will take place in the month following completion of the online course. For Level 3 Award in Wines the closed book assessment consists of a 2 hour theory paper and a 30 minute blind tasting paper which must be sat in person. For Level 1 and 2 candidates, who are unable to attend the classroom examination, there is an option to sit the exam online from home. The invigilation for online exams (RI exams) is outsourced to a third-party remote invigilator called ‘ProctorExam’ who records students in their remote exam environment via webcam, mobile, and screen-share. They use this technology to review the students’ exams to ensure they have avoided violations which could disallow their exam. Please note there is an additional charge for the RI exams of £35 per person for Level 1 qualifications and £40 per person for Level 2 qualifications, which is payable at the time of booking the RI exam. The WSET requires a minimum of 15 working days notice for RI exam orders. (RI exams are currently not available for Level 3 qualifications).
24. Examination Date:
The examination date is fixed for the course onto which you book and any transfer to an alternative date will incur an administration fee of £50. All transfer requests must be made in writing or by email at least 21 days prior to the examination date. Transfer requests made within 21 days of the examination date will incur an admin fee of £50 plus the cost of the examination paper which will already have been ordered from WSET Exams. Please note that Rebecca Mitchell and the WSET both reserve the right to reschedule an exam date if it is deemed necessary for a valid reason. Students will be notified via email at least 7 days before the planned exam date. An alternative exam date will be offered only to students who have been affected by an exam date re-scheduling.
25. Exam Results & Award Certificates:
Examination results for Level 1 & 2 qualifications are issued 30 working days after WSET receives the exam pack and 40 working days for Level 3 qualifications. Grade letters, Award Certificates and lapel pins for all successful candidates who have passed a WSET qualification will be sent out 50 working days from receipt of the exam pack. These will be forwarded via first class post to the candidate as soon as they have been received by the APP.
26. Enquiries and Appeals against Examination Results:
If a candidate considers that an error may have been made in the grading of papers, they may ask to have their examination paper reviewed and re-marked. Please contact the Examinations Administrator at WSET Awards and request an Application Form for Enquiries against Examination Results as well as the Policy for candidates requesting Feedback, Enquiries and Appeals against Examination Results. All enquiries must be received within 5 weeks of the date of the examination.
27. Complaints:
We take any form of complaint very seriously and will endeavour to respond fully and fairly within 3 weeks of receipt of any complaint. We agree to inform the Quality Assurance Manager at WSET Awards promptly of any serious situations with regard to malpractice. Any major complaint should be submitted in writing within 1 week of completion of the course.
28. Legal & Regulatory Requirements:
We ensure that each WSET course and examination is compliant with all applicable legal and regulatory requirements of the local education and licensing authorities.
29. Insurance:
We ensure that adequate and appropriate insurance cover is in place for each location where the WSET courses are instructed and examinations are held.
30. Liability:
We accept no liability for any claims arising against the APP in relation to any aspect of the delivery of a WSET course or the administration of a WSET examination. Equally the APP accepts no responsibility for any misconduct of participating students which may result in prosecution.
